Purpose:
This policy aims to guarantee that all patients receiving services from Road To Healing LLC are paired with physicians who are appropriately licensed to practice in their state of residence. This ensures full compliance with state laws and regulations governing both telehealth and in-person healthcare services.
Scope:
This policy is applicable to all healthcare providers, administrative staff, and management involved in connecting patients with licensed psychiatric providers at Road To Healing LLC.
Policy Statement:
Road To Healing LLC is dedicated to upholding the highest standards of compliance with state laws and regulations concerning physician licensing. To fulfill this commitment, we ensure that every patient is matched with a provider who possesses an active and valid medical license for practice in the patient’s state of residence
PROCEDURES
Verification of Physician Licenses
Initial License Verification: Prior to onboarding any healthcare provider to the Solid Foundation Psychiatry team, the credentialing department will confirm that the provider holds an active medical license in every state where they are authorized to practice.
Ongoing License Monitoring: The credentialing department will perform regular checks on each provider’s licensure status through state medical boards and the Federation of State Medical Boards (FSMB) database to ensure that licenses remain active and in good standing.
Notification of License Expiry: Providers will receive a notification 60 days prior to their state license expiration date, providing sufficient time for renewal. If a provider’s license expires, their ability to practice will be temporarily suspended.
Cross-State Telehealth Restrictions
Interstate Practice Rules: Physicians are permitted to offer telehealth services only to patients situated in states where they hold a valid license to practice. The telehealth platform will ensure that patients are matched exclusively with providers authorized to deliver care across state lines, and any exceptions must adhere to federal and state telehealth regulations.
Patient Intake and Location Confirmation
Patient Address Confirmation: As part of the patient intake process, the patient's current address and state of residence will be verified and recorded in the electronic medical record (EMR) system.
System Match of Licensed Providers: The EMR system will automatically align patients with providers who are licensed to practice in their state. This ensures that appointments cannot be scheduled with any provider who is not licensed in the patient's state of residence.
Documenting and Auditing
Licensure Records: The credentialing department will keep a current database of provider licenses, including expiration dates and the states in which they are licensed, to ensure ongoing compliance. Audit Trail: Solid Foundation Psychiatry will perform quarterly audits of provider-patient matching to confirm that all care is delivered by a state-licensed physician in accordance with applicable state laws.
Consequences for Non-Compliance:
Non-compliance with this policy will lead to an immediate suspension of the provider’s ability to treat patients through Road To Healing, until the issue is rectified. Continued non-compliance may result in the termination of provider contracts.
